    Here’s a simple, practical way most Jain sanghs handle “Tapsvi Card” preparation online. Adapt it to your local sangh’s rules and your tradition (Shwetambar during Paryushan/Chaturmas; Digambar during Das Lakshan/Chaturmas).

    Step 1: Decide who will verify

    • Appoint 2–3 seveks from your sangh (e.g., derasar committee/mahila mandal/yuvak mandal) to check entries and approve cards.
    • Agree on the list of accepted tapas (e.g., ekasana, ayambil, upvas, attham, masakshaman, varsitap, olikhan, navkarsi–sunasari niyam, etc.) and how proof will be confirmed (phone call, mentor’s (pravartak/mahila mandal) confirmation, or pratyaksh darshan at parna).

    Step 2: Create a simple online form (fastest: Google Form) Include these fields:

    • Full name (per Aadhar/pancard optional), gender, age
    • Father/Mother/Spouse name (as your sangh prefers)
    • Sangh/Derasar/Upashray name
    • Tradition: Shwetambar/Digambar; Gacch/Muni/Upadhyay (if applicable)
    • Type of tapa (multi-select): daily niyam, upvas, ayambil, attham, olikhan, varsitap, etc.
    • Start date and end date (also allow Jain tithi name if you track by tithi)
    • Place of parna (if known), parna date/tithi
    • Mobile, WhatsApp, email, full address
    • Name/number of the person who can verify (pravartak/sevek)
    • Optional: upload a small photograph (passport size)
    • Consent checkbox: “I confirm details are true and agree to have my name announced/published by the sangh.”

    Tip: In Google Forms, turn on “Collect email,” “Limit to 1 response” (if needed), and “Response receipts.”

    Step 3: Organize responses

    • Link the Form to Google Sheets (Responses -> spreadsheet).
    • Add columns for: Verified (Y/N), Verified by (name), Card No., Remarks.

    Step 4: Design the Tapsvi Card Simple options:

    • Google Docs template (A6/A7 size) with merge fields like <>, <>, <>, <>, <>.
    • Or Google Slides with one slide as a card; duplicate per tapsvi.

    Include on the card:

    • Sangh/Derasar logo and name
    • “Tapsvi Card – Chaturmas 2025” (or “Paryushan 2025” / “Das Lakshan 2025”)
    • Name, Tradition (Shwetambar/Digambar), Gacch (if used)
    • Tapa type(s), start–end date/tithi
    • Parna date/place (if fixed later, leave blank to fill at parna desk)
    • Card No. and a small QR code (optional; see Step 5)
    • Signature lines: Sevek/Verifier and Convener/Trustee

    Step 5: Auto-fill and optional QR

    • Use “Autocrat” (a free Google Workspace add-on) to merge the Sheet into your card template and auto-generate PDFs.
    • To add a QR code that opens a minimal confirmation page (or the person’s entry), use a free QR generator that points to a view-only Google Doc/Sheet row or a simple webpage. Print the QR on the card’s corner.

    Step 6: Approval and distribution workflow

    • Verifiers call/confirm entries, set “Verified = Y,” assign Card No. (e.g., TAP-2025-001).
    • Run the Autocrat merge to create PDFs.
    • Send PDFs on WhatsApp/email to tapasvis. Also keep them ready to print for those who need a physical card.

    Step 7: On parna/announcement day

    • Keep a printed or digital list sorted by Card No./Name.
    • Mark “Completed” once parna is done; if your sangh gives certificates, you can reuse the same data to auto-generate them.

    Notes by tradition (to keep it authentic)

    • Shwetambar (Paryushan/Chaturmas): Many sanghs list daily niyam along with major fasts; pratikraman attendance is sometimes noted. If your upashray prefers tithi-wise entries, keep both Gregorian date and tithi fields.
    • Digambar (Das Lakshan/Chaturmas): Often highlight anshan/upalakshan-tapas like upvas, attham, masakshaman, varsitap. Include vrata/niyam notes if announced during pravachan.
    • Always follow your local acharya/sadhu-sadhviji/aryika’s guidance on what qualifies as tapas for public announcements.

    Minimal sample card text (you can copy into your template)

    • Front: “Shri [Sangh Name] – Tapsvi Card (Chaturmas 2025). Name: ______ | Tradition: ______ | Gacch/Sampradaya: ______ | Card No.: TAP-2025-___”
    • Inside: “Tapas undertaken: ______ | Start: ____ (tithi: ___) | End: ____ (tithi: ___) | Parna: ______ | Verifier: ______ | Sign: ______”
    • Footer: “For satsang seva only.”

    Privacy and respect

    • Collect only what you need. Keep the Sheet view restricted to the verification team.
    • Announce names with humility; avoid comparisons or competition in tapas.

    If you need readymade templates, set up a simple Google Form and use its built-in template gallery for certificates/cards, then customize as above. This approach keeps the process easy, transparent, and respectful of Jain maryada.
